How to Create a New Heavy Vehicle Listing on DayDispatch — A Broker's Guide

Learn how to create a new heavy vehicle listing on DayDispatch as a broker. Enter equipment details, pickup and delivery information, pricing, and posting options to connect with qualified carriers and streamline transportation.

What Is a Heavy Vehicle Listing?

As a broker on DayDispatch, a Heavy Vehicle listing is used when you need to move large or oversized equipment such as excavators, bulldozers, cranes, loaders, or any heavy machinery that requires specialized transport. This is different from a standard vehicle listing and has its own dedicated form with extra fields for dimensions, weight, and equipment specifications.

Step 1: Navigate to the New Listing Page

Once you log into your DayDispatch account, you will land on your main dashboard. From the top navigation bar, locate the Move Shipment section and click on it. You will see the Broker dropdown list which contains all your listing tabs including New Listing, My Listings, Bid/Request, Waiting Approval, Dispatch, Pickup, Delivered, and more.

Click on the New Listing tab. This is your starting point.

At the top of the New Listing page you will see three sub-tabs:

  1. Post Vehicle
  2. Post Heavy Vehicle
  3. Post Freight Load

Click on Post Heavy Vehicle to open the heavy equipment listing form.


Step 2: Fill In the Heavy Equipment Information

This is the first and most important section of the form. You will need the following details ready before you begin:

Year: Enter the manufacturing year of the equipment. For example, 2019. Make sure the year is accurate as it affects carrier matching and pricing.

Make: Enter the manufacturer name. For example, Caterpillar, John Deere, Komatsu, or Volvo.

Model: Enter the specific model of the equipment. For example, 336 GC Excavator or D6T Bulldozer.

Unit: Select either Inches or Feet depending on how you want to enter the dimensions. Most heavy equipment brokers in the US use Feet.

Length, Width, and Height: Enter the exact dimensions of the equipment. These are critical fields. Be as accurate as possible because carriers use these to determine if they can transport the load and what type of trailer is needed.

Weight: Enter the total weight of the equipment in pounds. This is extremely important for carrier matching and legal compliance. Keep in mind that standard US highway limits are 80,000 lbs gross vehicle weight. If your equipment exceeds this, it will likely require an oversize or overweight permit depending on the route.

Equipment Condition: Select either Running or Not Running. This affects trailer type eligibility.



Step 3: Select Trailer Type

Scroll down to the Trailer Type field. This is a required field. Choose the trailer that best fits your equipment. For heavy machinery the most common options are:

  1. Lowboy
  2. Flatbed
  3. Step or Drop Deck
  4. Removable Gooseneck (RGN)
  5. Landoll

and many more other options are also available.

Choose the one that matches your equipment and shipment requirements.

Step 4: Select Trailer Specification

This field allows you to add special requirements or features needed for the transport. You can select multiple options. For heavy equipment, the most commonly used specifications are:

  1. Chain (CH)
  2. Oversized (O)
  3. Tarp (T)
  4. Team Driver (M)
  5. Extendable (E)

Select all that apply to your load.

Step 5: Select Load Type

Choose from the following options:

  1. STL (Small Truck Load)
  2. LTL (Less Than Truck Load)
  3. FTL (Full Truck Load)

For most heavy machinery, you will select FTL.

Step 6: Enter the Origin Location

This is where the heavy vehicle is currently located and needs to be picked up from.

First select the facility type from the dropdown. Choose Terminal if the heavy vehicle is at a logistics terminal, Dealer if it is at a car dealership, or Auction if it is at an auction house, or any other option according to the current location of heavy vehicle.

  1. Enter the Name of the facility or contact person at the origin.
  2. Enter the Email Address of the origin contact so the carrier can reach them.
  3. Enter the Phone Number of the origin contact.
  4. Fill in the Address and Address 2 if there is a specific bay, gate, or unit number.
  5. Select the State, enter the City, and enter the Zip Code. These three fields are required and must be accurate for the carrier to locate the pickup point.

Step 7: Enter the Destination Location

This section is identical in structure to the Origin Location but refers to where the heavy vehicle needs to be delivered.

Follow the same steps as above and make sure the destination contact information is accurate. A wrong phone number or address here can result in a failed delivery. If the destination is a private residence, select the most appropriate facility type and note it clearly in the Special Instructions field later.

Step 8: Set Your Pickup and Delivery Dates

In the Date and Time section, you will define when the heavy load should be picked up and delivered.

For Pickup Date, select whether the pickup should happen Before, On, or After a specific date. Before means the carrier must pick up the vehicle no later than that date. On means the pickup must happen on exactly that date. After means the pickup can happen any time after that date.

For Delivery Date, the same Before, On, and After options apply. This tells the carrier your expected delivery window.

Pickup From and Pickup To let you define a time window during which the carrier can arrive for pickup. For example, 9:00 AM to 5:00 PM.

Delivery From and Delivery To work the same way for the delivery end.

Always make sure your pickup date comes before your delivery date. If these dates conflict, your listing may cause confusion for carriers reviewing it.


Step 9: Set Up Carrier Payment

This section defines how much the carrier will be paid and how the payment is structured.

Book Price is the total agreed price for the transport job. This is the top-level amount.

Deposit Amount is the upfront amount collected before the job begins. Enter the deposit value here.

Pay To Carrier is the amount the carrier receives. This is a required field.

COD/COP Amount stands for Cash on Delivery or Cash on Pickup. This is the amount the carrier collects at the time of pickup or delivery. Enter this carefully.

Balance Amount is the remaining balance after the deposit. This should ideally calculate automatically but always verify it is correct before submitting.


Step 10: Fill In Additional Information

  1. Order ID is a required field. Enter your internal reference number or order identifier for this shipment. This helps you track the listing across all tabs in the Broker Index.
  2. Upload Vehicle Images by clicking Choose File and selecting clear photos of the vehicle. Front, rear, and side photos are recommended. Accepted formats are JPG and PNG. Upload images before submitting to give carriers a clear visual of the heavy vehicle condition.
  3. Additional Terms is where you add any contractual terms specific to this shipment. For example, you might state that the carrier is responsible for any damage during transit.
  4. Special Instructions is for anything the carrier needs to know that does not fit elsewhere. Examples include gate entry codes, parking restrictions, contact-ahead requirements, or specific loading instructions.
  5. Notes From Customer is where you can paste or type any notes the vehicle owner or customer has passed on to you as the broker.
  6. Select Contract from the dropdown to attach the relevant transport agreement to this listing. Make sure a contract is selected before submitting.

Step 11: Post the Listing

Once everything looks good, click the Post Listing button. Your listing will be submitted and will appear in your My Listings tab under the Broker Index. From there you can monitor bids from carriers, assign a carrier, or send carrier outreach directly.

What Happens Next

After posting, your listing enters the active load board where carriers can view and bid on it. You will be able to see all incoming bids and requests under the Bid/Request tab. Once you approve a carrier, the listing moves to Waiting Approval, then Dispatch, then Pickup, and finally Delivered when the job is complete.

Pro Tips for Heavy Vehicle Listings

  1. Always double check dimensions: Incorrect dimensions are the number one cause of carrier disputes and failed pickups on heavy haul shipments.
  2. Use the Schedule Listing feature: If your equipment is not ready for pickup yet, use Schedule Listing instead of posting immediately. This keeps your listing relevant when it goes live.
  3. Save a Draft first: For complex heavy equipment shipments, use the Draft Listing option to save your progress and review before posting.
  4. Be specific in Special Instructions: Heavy equipment often has unique loading and unloading requirements. The more detail you provide, the smoother the transport will be.
  5. Use Carrier Outreach: Once your listing is live in My Listings, use the Carrier Outreach feature to proactively contact carriers in your lane who specialize in heavy haul transport.
  6. Use Lane Carrier: If you regularly ship equipment on the same route, use the Lane Carrier feature to save preferred carriers for that lane and speed up future dispatch.
